Answer policy questions from your staff handbook

Draft replies to routine "what's the policy on..." questions, quoting the handbook section.

The task

HR teams answer the same questions every week: carry-over of leave, expenses, parental leave notice periods. Upload the relevant policy and ask the assistant to draft an answer that quotes the exact section, so you can check and send it.

Paste it into your AI assistant, then fill in the bits in [square brackets].

Using only the attached policy document, draft a reply to this employee question. Quote the relevant section and give its number. If the policy doesn't answer the question, say so plainly and suggest who to ask. Don't fill gaps with general employment law.

What to check in the output

  • Check the quoted section exists and says what the reply claims.
  • Watch for answers that sound right but come from general knowledge rather than your policy.
  • Anything involving a specific person's circumstances (illness, disciplinary, pay disputes) needs a human answer.

Remove names and personal details from the question. Don't paste case files, medical information or anything about a specific employee's situation.
