Explain a spreadsheet formula someone else built
Get a plain-English explanation of a nested formula, and a simpler version if there is one.
The task
Inherited models are full of formulas nobody understands: nested IFs, INDEX/MATCH chains, array formulas. Paste the formula and a description of the columns it refers to, and ask for a step-by-step explanation and a simpler equivalent.
A prompt to start from
Paste it into your AI assistant, then fill in the bits in [square brackets].
Explain this spreadsheet formula step by step in plain English. Column [X] contains [description], column [Y] contains [description].
[paste formula]
Then: 1. Tell me what it returns in edge cases: blanks, zeros, text where a number is expected, no match found. 2. If there's a simpler or more robust way to write it, show it and explain the difference.
What to check in the output
- Test any rewritten formula on a copy of the sheet, including the edge cases, before replacing anything.
- Compare results on at least a dozen rows between the old and new formula.
Before you paste anything in
The formula itself is rarely sensitive. Describe the columns rather than pasting the data.
Your organisation's AI policy wins over anything here.
