Summarise a sales call into CRM notes
Turn a call transcript into the fields your CRM actually asks for, with next steps and owners.
The task
After a call, reps either skip the CRM notes or write three vague lines. Give the assistant the transcript and your CRM's fields, and get back notes in the shape your pipeline reviews expect: pain, decision process, timeline, next step with an owner and a date.
A prompt to start from
Paste it into your AI assistant, then fill in the bits in [square brackets].
Here is the transcript of a sales call with [company]. Write CRM notes using exactly these headings:
- Situation (two or three sentences)
- Pain they described, in their words (quote them)
- Who's involved in the decision and how they decide
- Timeline and what's driving it
- Objections or concerns raised
- Agreed next step, owner and date
If the transcript doesn't cover a heading, write "Not discussed". Don't infer budget or timeline that wasn't said.
[paste transcript]
What to check in the output
- "Not discussed" is a useful answer. Be suspicious if every heading is filled in confidently.
- Check the quotes against the transcript, especially numbers and dates.
- Make sure the next step names a person on their side, not just "the team".
Before you paste anything in
Call recordings contain the other party's personal data. Make sure they were told the call was recorded and that your AI policy covers putting transcripts into this tool.
Your organisation's AI policy wins over anything here.
